At FocusBae, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our meeting and follow-through assistant ("Service"). We believe in complete transparency about what data we collect and how we use it.

Google User Data
When you connect your Google account to FocusBae, we request access to the following Google user data through Google's OAuth consent screen:
- Basic profile (
openid,email,profile) — to sign you in and identify your account. - Google Calendar events (
calendar.readonly,calendar.events.readonly) — to display your upcoming Google Meet events on the FocusBae dashboard and let you send our note-taking bot to those meetings with one click.
How we use this data: for exactly two user-facing features. First, to list your upcoming meetings so you can choose which to record. Second, when you record a meeting on your Mac, to identify which calendar event that recording belongs to, so the meeting can be labelled with its title and the people in it — a recording made on your machine otherwise carries only a start and end time. We do not modify your calendar, do not send email on your behalf, and do not read event contents beyond title, start and end time, attendees, and any Meet link on the event.
Where the data lives: OAuth tokens are encrypted at rest in our database. When a recording is matched to an event, we store that event's ID, title, and attendee names and email addresses against your own meeting record, visible only to you. Calendar data used to list upcoming meetings is fetched on demand and not retained.
AI processing: attendee names from a matched event are sent to OpenAI's API, and only for one purpose: correcting misheard names in your meeting transcript, so a commitment is attributed to the right person. Data sent to the OpenAI API is not used by OpenAI to train its models. No Google user data is used to train, fine-tune, or improve any foundational or generalized AI model, by us or by any provider we use.
Sharing: Google user data is never sold, rented, or shared with third parties for advertising, and is never transferred except as described above to deliver the features you opted into, or where required by law or to address a security issue. It is not read by our staff except with your explicit consent, for security, or to comply with the law.
Revoking access: You can disconnect Google Calendar at any time from Settings → Connections → Disconnect, or by revoking FocusBae's access directly at myaccount.google.com/permissions. Disconnecting removes stored tokens immediately.
FocusBae's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Meeting Companion Data
When you invite the FocusBae bot to a Google Meet (or paste a Meet link on the Meetings page), our bot joins the meeting as a visible participant, records audio, and produces a transcript. This only happens when you explicitly send the bot.
- Transcripts are encrypted at rest and used to generate summaries, action items, and searchable memory for your account only.
- Other meeting participants can see the FocusBae bot in the participant list, so all attendees are on notice that the meeting is being recorded.
- You are responsible for obtaining any legally required consent from other attendees before inviting the bot, per the laws of your jurisdiction.
- You can delete any past meeting and its transcript from the Meetings dashboard at any time.

Limited sharing only occurs for:
- Service Providers: Trusted partners (hosting, payment processing) under strict confidentiality agreements
